This Privacy Policy explains how BuzBix collects, uses, stores, shares and protects personal information when providing the BuzBix platform and related services, in compliance with South Africa’s Protection of Personal Information Act, 2013 ("POPIA").
In this Policy: "BuzBix" means Trusted Help Portal (Pty) Ltd, trading as BuzBix ("we", "us", "our"). "Platform" means the BuzBix website, software, applications, AI capabilities and related services. "Customer" means a business or organisation that subscribes to or otherwise uses the Platform. "End User" means an individual who interacts with the Platform through services configured by a Customer. "Personal Information" has the meaning given to it under the Protection of Personal Information Act, 2013 ("POPIA") — generally, information that identifies or relates to an identifiable, living individual.
BuzBix is a Software-as-a-Service (SaaS) platform that helps businesses automate operations, customer engagement and business workflows through AI capabilities and related digital services, operated by Trusted Help Portal (Pty) Ltd, trading as BuzBix. Website: buzbix.com. BuzBix is a South African company and processes personal information in compliance with POPIA. While we are headquartered in South Africa, we serve Customers in multiple jurisdictions and apply a consistent, high standard of privacy and data protection across all our operations, complying with additional local requirements where they provide greater rights or impose stricter obligations. Our goal is a single, globally consistent privacy standard wherever our platform is used.
This Policy applies to personal information processed through the BuzBix website and platform, businesses and organisations that subscribe to BuzBix ("Customers"), individuals who interact with the platform through services configured by our Customers ("End Users"), and any other authorised communication channels or integrations the platform supports. It does not apply to third-party websites, products or services that operate independently of BuzBix, even where accessible through links or integrations within the platform.
From Customers: account, business and contact information, billing information, and account credentials. From End Users: personal information that Customers or End Users choose to share while using services provided through the platform, including communications, enquiries, bookings, requests and other information submitted through supported communication channels. Automatically: technical and usage information necessary to operate, maintain, secure and improve the platform, generated through normal use of our website and services. We also collect operational information necessary to deliver, administer, secure, monitor and improve the platform — for example, about platform performance and service usage — which is used to operate the platform and is not used to profile individuals for marketing purposes.
We process personal information only where we have a lawful basis to do so, to provide, operate and maintain the platform; deliver the services our Customers have subscribed to; enable platform functionality and authorised AI capabilities; facilitate communications and business workflows; process payments and manage Customer accounts; provide customer support; improve, secure and maintain the platform; comply with legal and regulatory obligations; and, where required by law and only with the appropriate consent, send marketing communications. We do not sell personal information.
Depending on the circumstances, we rely on processing that is necessary to provide and operate the platform; to perform a contract with a Customer, or take steps requested before entering into one; to comply with a legal obligation; to pursue our legitimate business interests, provided these are not overridden by an individual’s rights and interests; or on an individual’s consent, where consent is the applicable legal basis — for example, for certain marketing communications. We are committed to processing personal information lawfully, fairly and transparently, in accordance with POPIA, and to applying a consistent, high standard of privacy protection across our global operations — complying with stricter local requirements where they apply. We ensure personal information is collected for legitimate business purposes; processed lawfully and responsibly; kept accurate and, where necessary, updated; protected through appropriate security measures; retained only for as long as necessary; and handled in a manner that respects the rights of individuals.
We share personal information only where necessary to provide, operate, support and improve the platform, comply with legal obligations, or where we have another lawful basis to do so. Depending on the services a Customer chooses to use, this may include carefully selected third-party providers that assist us with payment processing; communications and messaging; calendar and productivity integrations; artificial intelligence and automation services; cloud hosting and technology infrastructure; customer support and platform operations; and other professional or technical services that support the platform. These providers may only process personal information to deliver their service to BuzBix, and are required to protect it in line with applicable privacy and data protection requirements. We may also disclose personal information where required by law, regulation or court order, or to protect the rights, safety or security of BuzBix, our Customers, End Users or others.
As a global SaaS platform, BuzBix may process or transfer personal information across national borders where necessary to provide the platform and related services. Where personal information is transferred outside South Africa, we take appropriate steps to ensure the transfer complies with POPIA and any other applicable law, implementing contractual, organisational or technical safeguards where required.
We retain personal information only for as long as reasonably necessary to fulfil the purposes described in this Policy — providing our services, complying with legal obligations, resolving disputes, enforcing our agreements and protecting our legitimate business interests — taking into account the nature of the information, why it was collected, contractual and legal requirements, and legitimate operational needs. When personal information is no longer required, we securely delete, anonymise or otherwise dispose of it, in accordance with our data retention practices and applicable law. Where the law requires a longer retention period, that takes precedence.
We protect personal information through appropriate technical, administrative and organisational safeguards designed to reduce the risk of unauthorised access, loss, misuse, alteration or disclosure, and continuously review and improve our security practices as our platform and the broader security landscape evolve. We apply the principles of Privacy by Design and Privacy by Default throughout the design, development, operation and maintenance of the platform. No method of transmitting or storing information electronically can be guaranteed completely secure; we encourage Customers and End Users to use strong passwords, protect their account credentials, and notify us promptly of any suspected unauthorised access.
Subject to applicable law, you may have the right to request access to the personal information we hold about you, request correction of inaccurate or incomplete information, request its deletion where applicable, object to or restrict certain processing, withdraw consent where processing is based on consent, and lodge a complaint with the appropriate regulatory authority if you believe your personal information has not been processed in accordance with applicable law. The BuzBix platform is intended for businesses and individuals who have reached the legal age to enter into binding agreements in their jurisdiction, and is not intended for children or individuals below the applicable legal age of consent. We do not knowingly collect personal information directly from children without the appropriate legal authorisation or consent. If you believe a child’s personal information has been provided to us without the necessary consent, please contact us — we will promptly investigate and, where appropriate, take reasonable steps to delete or otherwise address the information in accordance with applicable law.
We may update this Policy from time to time to reflect changes in applicable laws or regulations, our platform, products or services as they evolve, our business operations or privacy practices, or other legitimate business or legal requirements. When we make material changes, we will update the date above and, where required by law, notify Customers or affected individuals directly. Where permitted by law, your continued use of the platform after an update takes effect constitutes acceptance of the changes; where the law requires your active consent to a material change, we will seek that consent first.
